Document Retention and Destruction Policy
This Document Retention and Destruction Policy (Policy) provides for the automatic retention and destruction of documents received or created by ICAP Patent Brokerage in connection with the transaction of its patent brokerage business. This Policy covers all records and documents, regardless of physical form (including electronic documents), contains guidelines for how long certain documents should be kept and how records are destroyed. The Policy is designed to ensure compliance with federal and state laws and regulations, to eliminate accidental or innocent destruction of records and to facilitate ICAP Patent Brokerage operations by promoting efficiency and freeing up valuable storage space.
ICAP Patent Brokerage follows the document retention procedures outlined below.
Contracts (after expiration) 3 years
Correspondence (general) 3 years
Employee Records 3 years
Technical Specifications 3 years
Patent Portfolio Transactional Records 3 years
Employee Email Accounts 3 years
The Organization’s Managing Attorney is responsible for the ongoing process of identifying its records, which have met the required retention period and overseeing their destruction. Destruction of all electronic documents is accomplished by a programmatic record retention policy and is applied to all electronic records and email accounts. All paper document are destroyed by shredding.
